Legal Support Services Team Leader

Location: Shrewsbury, Telford, Hereford or Oswestry

Job Type: Full Time, Permanent

Salary: £27,000 – £30,000 DOE

We are recruiting on behalf of a well established law firm for an experienced Legal Support Services Team Leader to join their leadership team. This is an excellent opportunity for a proactive and organised individual to lead a central legal support function, ensuring the delivery of high-quality administrative and client support services across the business.

Key Responsibilities

Lead, manage and support the Legal Support Services team, including legal administrative assistants, client services and telephony staff.

Oversee the day to day operation of the shared legal support function, ensuring an efficient and accurate service is provided.

Monitor team performance against key performance indicators (KPIs) and service standards, taking appropriate action where required.

Ensure administrative workflows are completed accurately and within agreed timescales to support legal teams across the firm.

Supervise front of house reception and client service functions, ensuring a professional and welcoming experience for clients and visitors.

Oversee the timely transcription of legal dictation using speech recognition technology.

Review and monitor the opening and processing of new client and matter files, ensuring compliance with internal procedures.

Ensure post completion and file management processes are completed accurately and efficiently.

Oversee the input, maintenance and storage of electronic documentation within the firm’s practice and document management systems.

Manage the archiving of closed files in accordance with firm procedures.
Ensure third party practice management systems are utilised effectively and to a high standard.

Support continuous improvement initiatives, identifying opportunities to enhance processes and service delivery.

 

Key Skills and Experience

Previous experience in a legal support, legal administration or operational management role within a professional services environment.

Proven experience leading, motivating and developing a team.

Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.

Excellent communication and interpersonal skills, with the ability to build positive working relationships.

High level of accuracy and attention to detail.

Strong IT skills, including experience with practice management, document management and speech recognition systems.

Ability to analyse workloads, monitor performance and implement process improvements.

A proactive, solution-focused approach with excellent problem-solving skills.

Commitment to delivering outstanding service to both internal and external clients.
